This Privacy Statement will govern how we collect, use and process the information you provide us for your personal information – such as to request a newsletter, contact us generally, reach out to us or register with our talent pool. Each time you provide personal information through this website or your details are captured via one of our staff, you will be asked to confirm that you have read and understood this Privacy Statement. Since it is not our intention to collect personal information from children, no child specific policy is included. 

On some pages and sites, we collect personal information, such as your e-mail address, name, home or work address or telephone number. For registration to join our talent pools, or for submission to one of our clients, we may also collect information from your uploaded CV or online work history profile. Information collected by us may be combined with information obtained from other sources. 

Collection, use and processing of your personal information

We collect, use and process your personal information to provide certain services for you, such as responding to your questions, providing marketing information for you electronically in response to your requests and assessing your suitability for current or future roles with us or our clients. In addition to sending information you request, we may also use your personal information to communicate with you about other topics we believe may be of interest. We do not use, collect, determine or disclose sensitive personal information, such as race, religion, or political affiliations, other than as required by law. 

We keep track of the pages our customers visit by recording your IP address together with the date, time and duration of your visit. An IP address is an assigned number which allows your computer to communicate over the internet. Recording IP addresses enables us to identify which organisations have visited our site and to track which pages and services are the most popular so that we can improve our site. We do not match this information with any personal information you may provide through the forms on this site.

Use of your personal information 

We, our affiliates, subsidiaries, agents and service partners (the “Recipients”) collect and use your provided personal information to operate and deliver the services you have requested. Some overseas countries do not have data protection legislation equivalent to that in force in the UK or the European Economic Area, however where your personal data is in scope for the UK Data Protection Act 2018 or the GDPR, it will be treated at all times in line with the UK Data Protection Act 2018 and the GDPR requirements, and will only be transferred internationally on an accepted lawful basis. By using this site and submitting your personal information, you consent to any such sharing and transfer of your personal information. 

At some of our offices, CCTV may be used to ensure we meet our physical security obligations. Where we have control over the CCTV recordings, images are recorded and processed in accordance with this Privacy Statement. 

We also use your personal information to inform you of other products or services available from us. We may also contact you via surveys to conduct research about your opinion of current services or of potential new services that may be offered. We do not sell, rent or lease our customer lists to third parties. We may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your personal information (e-mail, name, address, telephone number) is not transferred to the third party. Certain services may be co-branded and offered in conjunction with another company. If you register for or use such services, both Northstar future group and the other company may receive information collected in conjunction with the co-branded services. In such cases, either a joint Privacy Statement or a link to the other company’s Privacy Statement will be shared, which will provide you with details about how they will use your information and how you can contact them regarding individual rights or other inquiries.

We occasionally hire other companies to provide limited services on our behalf, such as handling the processing and delivery of mailings, providing customer support, processing transactions, or performing statistical analysis of our services. We will only provide those companies the personal information they need to deliver the service. They are required to maintain the confidentiality of your information and are prohibited from using that information for any other purpose.

Opt-in / Opt-out electronic mail 

Our electronic mail programme operates on an opt-in basis. You will receive regular electronic mail from us when you opt-in by providing your details via one of the registration forms on our website. Upon registration, the information you have requested will be sent by electronic mail and as frequently as it is produced or available. You will be able to opt-out of receiving further electronic mail by using the unsubscribe feature. We will provide you with a link to the unsubscribe feature in all our electronic mail.

How long we keep your data

How we use your information 

This statement outlines how we process your personal data. We are operating as a data controller when we process your personal data, but in some circumstances may also operate as a data processor on behalf of our clients. Please also refer to the relevant client data protection statement for details on how our clients use and manage your data. 

How we use the information that you provide? 

Personal data that you supply to us may be used for the following, collectively the ‘Purposes’: 

  1. the purpose of processing your application for a role with us or one of our clients; 
  2. Assessing your skills, experience, and suitability for a specific role, or potential future assignments with our clients 
  3. if successful, managing your contract; 
  4. matching your details to any future suitable assignments; 
  5. contacting you about the services we offer; 
  6. assisting you with the decision as to best engagement model; 
  7. undertaking surveys; and 
  8. Performing diversity assessments 

Northstar future group is processing your personal data on the basis of our legitimate interest, that it is necessary for progressing the Purposes and the performance of any resulting contract, and also due to our legal obligations. Some processing may be done with your consent, in which case you will be specifically informed of this prior to the collection and processing of this data. Some processing may include profiling and automated decision making, in which case you will be specifically informed of this prior to the processing. The legitimate interests pursued by us are as follows:- 

  1. a) Collecting your personal data either directly from you, or from a publicly available source for the purposes of matching your profile against suitable assignments
  2. b) Managing the application, screening, and selection process for suitable assignments 
  3. c) Providing your details to nominated third party suppliers for the purposes of pre-assignment screening, and also for nominated suppliers as described below 
  4. d) Managing any resulting contract assignment or contract of employment where relevant 
  5. e) Storing your personal data for the purpose of matching your details with potential future assignments 
  6. f) Contacting you by phone, email, social media or other online platforms about potential future assignments

In the course of processing your application, we may collect personal data about you which is more sensitive than other data such as details about your health. Where this is done it will be for the purpose of making reasonable adjustments during the application, sourcing and selection process. In some circumstances this data may be shared with our clients for the same purpose, or for them to ensure that the assignment being performed would not be detrimental to your health, or the health of others. 

With your consent, we may also collect data related to your racial and ethnic origin, religious beliefs, and sexual orientation, and disability status. This data will be used exclusively for the purposes of diversity assessment. We will treat all personal data (whether sensitive or not) as private and confidential except where we are permitted or required by law to make a disclosure or where the disclosure is necessary for the Purposes. Unless we are required by law, you are under no obligation to provide your personal data to us for the purposes. Should you choose not to provide your personal data, or you request that we delete your personal data, we or our clients will be unable to engage you for an assignment, or employ you. 

How long will we keep your data for? 

We will keep your personal data for the purposes of matching your details to a potential future assignment for as long as is necessary to achieve the Purposes, which may be for the duration of your career, or until such point that either you ask us to delete the personal data, or we believe that there is no realistic prospect of us identifying a potential future assignment. Where you are presented to a client and additional data is collected or created during the application, sourcing and selection, or screening process we will retain that data for 60 months after the application process has completed. After 60 months the personal data relating to the application will be deleted from our systems however some of your personal details may still be retained in order for us to achieve the purpose as described above. 

If you are engaged to provide services to Northstar future group or to one of our clients, we will need to hold your personal data for the length of any assignment and for as long thereafter as may be required to ensure compliance with statutory and other obligations. Typically, this is 7 years after the point that your last assignment ends, however in some limited circumstances this may be longer

A description of your rights 

You have a right to request a copy of the information that we hold about you. If you would like a copy of some or all of the personal data we hold about you, please email us at the address below. We want to make sure that your personal data is accurate and up to date. You may ask us to correct or remove data that you think is inaccurate. You have a right to request that we restrict processing, and also to ask us to provide the personal data that we hold in a machine readable format for the purposes of transferring it to another organisation at your request. 

You may request the removal of your personal data from our systems at any time by emailing hello@northstarfuturegroup.com with “Remove my Details” in the subject title. We may not always be able to comply with your request immediately – for example, if we need to retain your personal data for a certain period of time for legal reasons, or for the purposes of defending a legal claim. You also have a right to make a data protection complaint to the Information Commissioner in the UK if you think we are mishandling your personal data. 

Who do we share your personal data with? 

In order to process your application (and, if successful, manage your assignment), we may need to pass your information to other companies, to clients and nominated suppliers for progressing the Purposes described above. These could include our technology providers, insurance companies, credit checking agencies, third party screening providers, payroll providers, and government bodies, as well as third parties that you provide us, such as your referees. 

Your personal data will be mainly processed by us within the UK and also the European Union but may also be transferred to and processed in countries outside of the UK or European Union. In addition, any personal data provided by you may be stored on servers outside the UK or European Union. Some overseas countries do not have data protection legislation equivalent to that in force in the European Union however in all circumstances where your personal data is transferred, it will be done so lawfully, (for example on the basis of an adequacy decision from the ICO, or having signed an UK approved model clause agreement). In all circumstances, wherever your personal data is stored and processed, it will be processed in accordance with all applicable laws including the UK Data Protection Act 2018. 

How do we protect your personal data? 

In some circumstances you may be issued logins or given access to systems in order to provide information securely, or to perform certain actions such as time recording. You agree to immediately notify us of any unauthorised use of your user id and/or password. Any breach of the above which results in losses to either Northstar future group or our Clients may result in legal action being taken against the individual concerned. 

Changes to our privacy policy 

We keep our privacy policy under regular review. Any substantial changes to the way in which we process personal data will be notified by posting an announcement on our website.
